How to claim back money

What you need to do

Print out a copy of the claim form or collect one at the Student Activities Department.

Please include a full description for items of equipment (description, make, model, serial number, etc.) and full details (such as date, registration number, destination postcode & mileage etc) for transport claims.

In the right hand column fill in the amount for each item, and the total amount of the claim and fill in the date.

Circle the required method of payment (Cheque or cash for Stoke students/BACS for Stafford students) and put the name of the person/company who the cheque needs to be made payable to or the name of the person who will be collecting cash or receiving the payment.

For BACS payments, please detail the claimant's full name, eight digit bank account number and six digit sort code.

Write the name of your club or society and then get the form authorised by two of your account signatories. Please note, you cannot sign your own claim form!

Submit the form to your key staff member for authorisation.

Things to remember

Please include valid receipts and invoices with your claim form. If you don't provide this paperwork, your claim will not be processed. If you are claiming for printing, you can get a printout of what you have printed (with costs) from University Libraries.

If you are claiming for fuel, it is calculated at 20p for each mile you travel - not the total on your receipt. Please include details of your destination postcode and mileage on the claim form.

All privately owned vehicles used for Club & Society trips must be registered with Student Activities prior to the trip using a Private car registration form. Expenses will not be paid for unregistered vehicles.

Please note cash will only be given to the person named on the claim form. ID in the form of a student card will be required on collection (for cash and cheques).

When will my money be ready?

It can take up to five working days for approval from the Student Activities department - please bear this in mind.

Cash and cheque payments for Stoke students will be available to pick up from the Finance Window at College Road (opposite the OMG media studio).

BACS payments for Stafford students will be paid directly into the account named within five working days of approval.
